What is collected
Ordinary browsing may create hosting and security logs, such as the page requested, time, browser details, and network address. Those logs follow the hosting provider's own retention controls. The site does not use advertising trackers or sell personal information.
Guestbook
If you leave a note, the site stores the name, email address, note, requested visibility, moderation state, and delivery state needed to send your private link or a reply. Public notes appear only when you requested public visibility and Kaichen approved them.
Guestbook email addresses, note bodies, and replies are encrypted by the application before they are kept in the database. The application decrypts them only when an authorised private, moderation, or approved public view needs the content. Display names, visibility choices, moderation state, and delivery metadata remain readable to operate the service.
Meeting requests
If you request a meeting, the site stores your name, email address, optional note, selected time and mode, request status, and any meeting details needed to manage the appointment. Meeting links and agreed locations are shown only on the private status page.
For abuse prevention, the application keeps one-way identifiers derived from the visitor, network, and email address. These support rate limits without using the raw network address as the application's lookup value.
Why it is used
- to deliver confirmation, private-access, reply, and meeting-status emails;
- to moderate and display only the Guestbook notes meant to be public;
- to review, confirm, update, or cancel meeting requests;
- to prevent duplicate submissions, spam, and abuse; and
- to diagnose failures and keep the site secure and reliable.
Services involved
The site is deployed with OpenAI Sites and uses Cloudflare infrastructure, including D1, R2, and Turnstile. Resend delivers transactional emails. These services may process the information needed to host the site, check submissions, store records, and deliver messages.
Published work or journal content may include a YouTube privacy-enhanced or Vimeo video player. Opening a page with one of those embeds allows that provider to receive ordinary browser and network information needed to load the player.
Retention
An anonymous Guestbook note that is not email-verified becomes eligible for deletion after about 24 hours. A verified note remains until you delete it or Kaichen removes it. Sent or cancelled email queue records become eligible for deletion after about 90 days.
A Guestbook confirmation link must first be opened within 24 hours. On that first opening, its access grant receives a fixed expiry 30 days later; the same link can restore access only during that 30-day recovery period. Private browser sessions can last up to 30 days, but stop working earlier if the email access grant that created them expires, is removed, or becomes unavailable.
An unverified meeting request becomes eligible for deletion after about 24 hours. Completed, declined, cancelled, or expired meeting records become eligible after about 90 days. Cleanup runs when the protected Studio tools are used, so actual removal can happen later. Access sessions and grants expire separately.
Cookies and local storage
The site uses secure cookies to recognise a submission and open private Guestbook or meeting pages. These are functional cookies, not advertising cookies. Your light or dark theme preference is stored locally in your browser. Turnstile and the hosting platform may also use essential security cookies.
Your choices
A Guestbook access link lets you view and permanently delete your note. A meeting status link lets you view the latest request state and cancel when that action is available. You can also clear this site's cookies and local storage in your browser; doing so may remove a private session from that device. A Guestbook confirmation link must first be opened within 24 hours and can then restore access for 30 days from that first opening. Meeting access links are single-use, so clearing a meeting session may remove access unless a newer status email supplies another link.
If you no longer have an access link, leave a private Guestbook note asking for help and include only enough context to identify the record. Do not include passwords, identity documents, payment details, or other sensitive information.
